KALI stands for Knowledge, Acceptance, Love & Integrity. We are building a community-based not-for-profit that brings people, practitioners, businesses and organizations together to help make wellness, education, connection and support more accessible to everyone.

About the Position

We are looking for an organized, creative, resourceful and community-minded Office Administrator to join KALI during an important stage of our development.

This is a hands-on position involving administration, communications, community outreach, program coordination, marketing and organizational support.

You will work closely with KALI's Executive Director and leadership. Initially, you'll receive guidance and direction as you learn the organization, but we're looking for someone who can increasingly take an idea, organize it, research it and help move it into action.

We want a self-starter — someone who doesn't always need to be told the next step, but is comfortable asking questions, finding answers and bringing ideas and opportunities forward.

What You'll Be Doing

  • Provide day-to-day administrative support, including emails, phone inquiries, scheduling, documents and records.
  • Coordinate program schedules, registrations and participant tracking for workshops, classes and community initiatives.
  • Maintain organized digital and physical filing systems and internal records.
  • Assist with invoicing, payment tracking and basic bookkeeping support.
  • Maintain spreadsheets, databases, booking platforms and other organizational systems.
  • Support grant-related activities, including researching potential funding opportunities, organizing deadlines and requirements, document preparation, data collection and reporting.
  • Assist with marketing and outreach, including social media, newsletters and promotional campaigns.
  • Help create professional print and digital promotional materials.
  • Assist with photography, video and digital storytelling.
  • Help maintain and update website content.
  • Communicate and build relationships with practitioners, Community Allies, businesses, sponsors, community organizations, vendors and other partners.
  • Help identify potential partnerships, funding opportunities and community resources that align with KALI's mission.
  • Assist with fundraising, sponsorship and community-engagement initiatives.
  • Help coordinate events and community programs, including logistics, setup and participant support.
  • Collect participation information, feedback and impact stories to help KALI measure and communicate its work.
  • Look for ways to improve administrative systems and make the organization more efficient.
  • Most importantly, be comfortable helping take projects from idea → plan → action → completion.

Skills That Would Be Valuable

Strong administrative and organizational abilities are important.

Experience or skills in any of the following would also be valuable:

Graphic design • communications • social media • community development • grant research • fundraising • event coordination • photography/video • website management • nonprofit/community work

Professional graphic-design experience is particularly valuable. Experience with Adobe Creative Cloud — especially InDesign, Illustrator, Photoshop and Acrobat — is strongly preferred. Photography, Premiere/video editing and website-content experience would be additional assets.

Comfort with Microsoft Office, Google Workspace, spreadsheets, databases and social-media platforms is also beneficial.

Postsecondary education is not required. Relevant experience, demonstrated ability, initiative and fit with KALI's values will all be considered.

We don't expect one person to arrive knowing everything.

We do expect you to be willing to learn, ask questions, find answers and take initiative.

NOHFC Eligibility

This position is supported by the Northern Ontario Heritage Fund Corporation (NOHFC) People & Talent Program – Workforce Development Stream.

Because this is a NOHFC-funded internship, applicants must meet NOHFC eligibility requirements in order to be considered, including being:

  • At least 18 years of age.
  • A resident of Northern Ontario.
  • Legally entitled to work in Canada.
  • A new entrant to the workforce, transitioning to a new career, or unemployed/underemployed and entering a new field.
  • Someone who has not previously participated in the NOHFC People & Talent Program.
